Job description

Northumberland Heath School is looking for an Apprentice Administrator to join their happy front office team.

 

The post will be 36 hours per week, 39 weeks per year. The typical hours of work will be 8.15am to 4:30pm including a lunch break.

  • Be the face of the school treating all stakeholders with care and respect
  • To undertake a range of duties related to pupil admissions, registration and attendance
  • To fulfil all aspects of front of house reception duties for the school office
  • To administer school dinner money cash management and debt control including identification of free school meals
  • To provide general clerical and secretarial assistance to the school office and the Head Teacher
  • Record and monitor pupil attendance, follow up unreported absences with aim to minimise unauthorised absences and liaise with the community liaison officer.
  • Maintain the Pupil SIMS system with accurate and relevant pupil data, run reports and registers as required
  • Provide front of house reception for visitors and callers (in person, in writing and by telephone) dealing with routine enquiries and assisting external agencies
  • Process and account for dinner money, including cash banking and online payments
  • Complete all general office administration including operating Microsoft office, photo copiers, fax, post, filing, communication and security equipment.
  • Operation of computer and paper based systems requiring accuracy and keyboard skills.
  • Work in close contact with teaching staff in dealing with pupil welfare and providing administrative support.
  • Frequently daily contact with parents and pupils dealing with administrative matters.
  • Operation of information and recording systems for various aspects of pupil management, both computer and
  • Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
  • Provide a responsive and secure service for personal callers, ensuring controlled entrance and exit and a polite and welcoming approach to visitors.
  • Oversee an efficient mail service for the school. Deal appropriately with incoming correspondence; date record, deliver and track mail. Ensure that mail is duly dispatched; urgent matters are promptly referred and dealt with; action and reply to routine correspondence / messages.
  • Responsible for the school’s general email address, responding to correspondence or forwarding to relevant staff as appropriate.
  • To ensure efficient and effective communication systems between the school office and the school staffparents &
  • General school office duties - dealing with enquiries from parents and visitors to the school in person and by telephone, producing letters to parents, photocopying, filing etc.
  • Assisting the teachers in aspects of their role, including contacting parents and pupils where necessary
  • To organise for refreshments and suitable hospitality to be provided to visitors/parent events as needed
